Specialty Leasing Administrative Assistant

Position Overview :

The firm is currently looking for a dynamic, motivated administrative assistant with real estate experience who thrives in a fast?

paced environment to join the specialty leasing team, under the direction of the Specialty Leasing manager and Vice President of Specialty Leasing.

The Administrative Assistant will be responsible for all

administrative duties related to specialty leasing deals of the Mall.

Primary Responsibilities :

  • Coordinate permitting process for tenants
  • Support office staff for lunch break coverage
  • Oversee tenant communication, insurance and filing needs.
  • Update and maintain floor plans
  • Prepare presentations to support specialty leasing efforts
  • Must a have car and able to travel to Caguas and other properties as needed
  • Execute the tasks necessary to accomplish specialty leasing goals, including, but not limited to, setting up meetings, showing space, preparing proposals, obtaining market comparable, and other follow up tasks as necessary.
  • Process specialty leasing deals from negotiation through the opening.
  • Coordinate tenant opening and closing with various departments
  • Run, manage and update department reports
  • Assist in sales and rent collections
  • Answer calls and respond to inquiries
  • Prepare expense reports
  • Process lease documents through DocuSign
  • Work on deal transactions under the guidance of the Specialty Leasing Manager and Vice President, Specialty Leasing
  • Perform other duties and responsibilities, as required.

Qualifications :

  • 2+ years of administrative experience in commercial real estate or retail experience
  • Must be a team player with a strong work ethic and demonstrated ability to work independently and in a team environment
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office (Excel, Word, Adobe, PowerPoint and Outlook)
  • Strong time management skills and a proven ability to coordinate multiple projects at once
  • Ability to multitask with strong problem solving, organizational and project management skills

Fully Bilingual

Candidate must be fully Covid Vaccinated
